ADDITIONAL FEES + STAFFING

Some weddings may require extra support or travel accommodations beyond the standard service offerings (as seen above). Below is a breakdown of additional fees and staffing requirements to ensure your day runs smoothly, no matter the size, location, or complexity of your celebration.

For weddings with larger guest counts or multiple locations, additional Assistant Coordinators may be required to ensure smooth event execution, vendor coordination, and guest management. Staffing is based on guest count and event complexity to maintain the high level of support your wedding day deserves.

Assistant Coordinator Pricing & Requirements:

  • One Assistant Coordinator – $325

    • Required for weddings with two locations (ceremony + reception venues).

    • Required for weddings with 125+ guests at a single location.

  • Two Assistant Coordinators – $600

    • Required for weddings with 175+ guests at two locations.​​

ASSISTANT COORDINATOR(S)

TRAVEL FEE

For all weddings located outside a 30-mile radius of Woodstock, GA an additional travel fee (to cover mileage, hotel accommodations, etc.) will be applied. 

OUT-OF-STATE WEDDINGS

For weddings held outside of Georgia, a travel fee (as noted above) will apply, and package pricing will likely start above the standard package starting rate to reflect the additional travel days and time away from home.

D A Y - O F   
C O O R D I N A T I O N

*Pricing starts at $1,075

​Includes up to 10 hours of wedding day management and execution, covering:

  • Implementation of your finalized wedding day timeline​

  • Greeting and directing all vendors upon arrival

  • Acting as the main point of contact for vendors, guests, and any last-minute needs

  • Leading and coordinating your rehearsal (up to 1 hour)

  • Coordination of setup and breakdown of décor*

    • *Setup and breakdown of wedding day décor includes reception table décor (linens, place cards, and light table décor), as well as the cake and gift/guestbook tables. For full décor setup, please see our Add-On Services below.

 

Bonus Planning Support
To help you stay organized before the big day, you’ll also receive:

  • Access to an editable Master Timeline

  • A complete Month-by-Month Planning Checklist

  • Up to three self-initiated touch points for vendor questions or recommendations

 

Pre-Wedding Call
Roughly 2–3 weeks before your celebration, we’ll meet by phone or video to walk through every detail together and ensure Amber + Oak Coordinating is fully aligned with your vision.​​​

Designed for couples who have planned the details themselves but want an experienced coordinator to ensure everything comes together seamlessly on the wedding day. This package allows you and your loved ones to relax, stay present, and enjoy the celebration you’ve worked so hard to create— all while keeping your budget in mind.

M O N T H - O F   
C O O R D I N A T I O N

*Pricing starts at $1,675

Includes everything in the Day-Of Coordination Package, plus services starting 30 days prior to your wedding:

Pre-Wedding Coordination:

  • Review all vendor contracts

  • Confirm vendor details one week before the wedding (arrival times, meal counts, etc.)

  • Conduct one in-person venue walk-through (up to 2 hours)

  • Further develop and finalize your day-of timeline

  • Distribute finalized timelines to all vendors

Alignment Meeting
One formal video or in-person alignment meeting (up to 2 hours) roughly 6–8 weeks before the wedding, allowing Amber + Oak Coordinating to come alongside you, take the reins, and ensure everything is perfectly aligned as the big day approaches.​
